Job Title: Accounts Payable Specialist

Location: San Francisco, California

Responsibilities:

  • Review invoices against purchase orders and receivers for errors and discrepancies.
  • Audit invoices for procedural accuracy.
  • Research and resolve various invoice discrepancies.
  • Communicate invoice discrepancies with other employees and/or vendors.
  • Respond to email or phone questions from other district offices.
  • Match invoices with purchase orders (POs).
  • Code invoices to correct general ledger accounts and ensure proper entry into accounting software.
  • Perform routine heavy data entry of invoices into accounting software.
  • Route invoices for approval using accounting software.
  • Properly log incoming invoice batches in Excel.
  • Use Excel to enter invoice information.
  • Perform various A/P related projects as directed by the Business Office Manager.
  • Process union and non-union employee changes, including but not limited to rate increases, withholdings, direct deposits, garnishments, and 401(k) deductions.
  • Keep current with union Master Labor Agreement rates and state and federal labor laws.
  • Compile, complete, and send all Certified Payroll Reports to various municipalities.

Qualifications:

  • 2+ years of previous accounting experience are required, with construction industry experience preferred.
  • Ability to communicate both verbally and through writing in a professional, courteous, and knowledgeable manner.
  • Ability to prioritize and organize tasks according to deadlines and complete them in a timely manner.
  • Knowledge of basic accounting principles.
  • Intermediate Excel skills are required.
